Vacancy: Operations & Marketing Coordinator

The Obeya Association is looking for an Operations & Marketing Coordinator to keep our day-to-day operations running smoothly while helping us make the organisation smarter, more digital and more professional.
About Obeya and the Obeya Association
Obeya literally means “large room” in Japanese. It is a visual and structured way of working that brings strategy, performance, collaboration and decision-making together. Obeya helps teams and leaders create overview, identify issues faster, and connect strategy with execution.
The Obeya Association is the international knowledge and community organisation around Obeya. We focus on the continued development and professionalisation of Obeya and develop and manage, among other things, the international learning journey, training materials, examinations and accreditation. We also bring together professionals, Coaches, training partners and organisations to share knowledge and practical experience.
We are a small organisation with an international reach. This means you will have real responsibility and the opportunity to contribute directly to both our day-to-day operations and the further development of the organisation.



What will you do?
This is a varied role. One day you might help a Coach with a certification question, prepare an email campaign and follow up on actions with a partner. The next, you could be working on a LinkedIn campaign, improving a process or helping to launch an examination in several languages.
- Marketing & communications: create and schedule LinkedIn content, prepare email campaigns and support campaigns around training programmes, books, Masterclasses and other activities.
- Community & support: help members, Coaches and partners with questions and make sure memberships, certifications and related processes run smoothly.
- Partner operations: support onboarding, keep track of agreements and renewals, prepare meetings and make sure actions are followed up.
- Administration: keep day-to-day administration organised and support invoicing, accounts receivable, contracts and partner administration.
- Systems: work with online tools for CRM, email marketing, certification, administration, community and online learning, including ActiveCampaign, Moneybird and WordPress. You do not need to know all these systems already, but you should be comfortable learning new software quickly.
- Projects: take ownership of concrete improvement projects, for example multilingual examinations, website improvements, campaigns and further digitalisation.
- AI & automation: look beyond what needs to be done and consider how recurring work can be made smarter, simpler and less manual.
Who are we looking for?
We are looking for someone who is independent, curious and careful. You enjoy taking responsibility, figuring things out and following through. You do not need to know everything from day one. What matters more is that you learn quickly and can take on increasing responsibility during the handover period.
You are digitally confident, accurate and organised, and communicate well in both Dutch and English. You have a feel for marketing and enjoy actually creating and publishing content, emails and campaigns, rather than only planning them.
You notice when processes could be improved and are interested in using AI and automation in practical ways in your everyday work.
Ideally, you already have some practical experience in several areas relevant to this role, such as CRM/email marketing, social media/content, SaaS tools, customer support, project coordination, financial administration, events or online learning. This experience could come from a previous job, internship, part-time job, studies or other relevant activities.
We explicitly welcome people from different backgrounds and at different stages of their careers. You might be a student in the final stage of your studies, a recent graduate, someone with several years of work experience, or someone returning to work after a career break. A particular degree or a long CV matters less to us than what you can do, how quickly you learn and how much responsibility you can take.
What do we offer?
This is a position of approximately 20 hours per week, with flexibility to agree how those hours are spread across several days.
You will have plenty of independence and room for initiative. The role combines operations, marketing, community, projects and digitalisation, with real opportunities to work with AI and automation.
You will be employed by become part of the FIDDS/AgileWalls team in Breukelen, and work for the Obeya Association from that position. This means you will not be working in isolation. Practical and process support is available within the FIDDS/AgileWalls team, alongside the subject-matter expertise within the Obeya Association.
We regularly work together from Breukelen, the Netherlands, combined with the flexibility to work partly from home.
Our preferred starting date is 1 November 2026, or as soon as possible thereafter.
Salary
We are considering a salary of approximately €1.400 to €1.500 gross per month based on 20 hours per week, depending on your experience and background. Final employment conditions will be aligned with FIDDS’ employment terms.
When would you be a good fit?
You enjoy a working day where not everything is the same. You are happy to investigate an administrative issue in the morning, build an email campaign afterwards, speak with an international partner and then spend part of the afternoon figuring out how to make a recurring process smarter.
Most importantly: we are not looking for someone who simply works through a task list. If you notice that something takes unnecessary time every month, we want you to ask: could this be done smarter?
